Important Data Processing Summary: Our platform processes user uploaded documents and metadata strictly for digital transmission over telecom networks. We permanently delete your uploaded documents as soon as your fax is successfully delivered, or within 36 hours by default if delivery is delayed.

1. Overview & Service Scope

This Privacy Policy explains how easyfaxonline.com ("Company", "we", "us", or "our") collects, uses, discloses, and safeguards your information when you access our cloud-based faxing platform, mobile tools, browser extensions, or messaging-based fax utilities (collectively, the "Service").

We act as a data processor for the transmission of document payloads across public switched telephone networks (PSTN) and VoIP/telecom gateways. Please read this Privacy Policy carefully.

2. Information We Collect

We collect several categories of information to operate, deliver, and secure our cloud fax services:

A. Account & Billing Information

  • Identity Data: Full name, email address and fax number.
  • Payment Data: Payment card details, billing address, and transaction logs (processed via PCI-DSS compliant third-party payment gateway creem.io).

B. Document Payloads & Transmission Data

  • Fax Content: Files uploaded (PDF, DOCX, TIFF) for transmission. Content is strictly parsed, rendered, and queued for outbound fax delivery.
  • Transmission Metadata: Sender fax number, recipient fax number, transmission timestamp, delivery status, page count, and error codes.

C. Automated & Technical Data

  • IP address, browser type, device identifiers, system logs, and queue metrics necessary for troubleshooting rate limits and connection stability.

3. Telecommunications & Underlying Infrastructure

Our Service relies on tier-1 telecommunication network partners to route faxes over traditional telephony lines. When you submit a fax:

  • Document payloads are transmitted securely (via TLS 1.3 / HTTPS) to specialized telephony gateways.
  • Gateways convert your digital file into T.38 audio/data streams for transmission to physical or digital receiving fax machines.
  • Underlying carriers temporarily handle metadata and carrier logs required by telecom regulations.

4. Data Retention & Auto-Deletion Policy

To prioritize privacy and minimize liability, we enforce automatic document retention limits:

5. Security Standards

Security Infrastructure

We do not rent, sell, or trade your personal information or document contents. Information is only disclosed in the following scenarios:

  • Telecom Suppliers: Necessary routing data passed to underlying carrier APIs for fax completion.
  • Compliance & Legal Obligations: In response to valid subpoenas, court orders, or anti-spam regulatory investigations (e.g., FCC / TCPA inquiries).
